Terms & Conditions

Part 1 GENERAL
a) These Terms and conditions (T&Cs) incorporate, and should be read together with, any third party or Agent’s T&Cs or regulations, which you can obtain from the point of purchase.

b) Artists and billed attractions may be subject to change.

c) No trading or promotional activities allowed within the venue site without Ideal Events (IE’s) prior consent.

d) Photographic equipment is permitted, provided that it is for personal non-commercial use only. In the event of any subsequent commercial use, the bearer agrees to pay the Promoter for the cost of a licence issued by the Promoter for permission to take photographs/visual/audio recordings for commercial use.

e) We request that you do not buy tickets or goods from unlawful street traders/touts. There is no guarantee of tickets’ validity for entry unless purchased from official ticket agents for the event.

f) You give your express consent to your actual/simulated likeness to be included for no fee within any audio or visual recording to be used in any media for any purpose at any time. This includes filming by the police or security staff which may be carried out for the security of customers and/or the prevention of crime.

g) No unauthorised vehicles will be allowed on site.

Part 2 COVID 19
Our security and Event stewards are there for everyone’s safety and include enforcing our COVID procedures that comply with government recommendations and our licensing requirements. These include:
• Social distancing measures and ‘Bubble Group’ layout
• Site layout including creating 2m distancing where possible and one-way systems
• Toilet facilities and hygiene procedures
• Hand washing and sanitising areas
• PPE for staff and contractors including gloves and masks
• Food hygiene, vendor service and queuing systems
• Bag searches will be hands free but please be patient on entrance as this will take longer than usual

REFUNDS
a) Refunds are only considered on cancellation of the event and will include COVID cancellation or by special exception determined by IE in its sole discretion.
b) Refunds should be requested from the point of purchase, no later than two weeks after the event.
c) A minimum of the proportionate amount of the face value of the ticket will be refunded.
d) Any refunds of booking fees per ticket or per order fees are subject to the T&Cs of the point of sale.

AGE POLICY
a) No unaccompanied under 15’s are allowed on site. All under 15s must be accompanied by an adult ticket holder (aged over 18). This adult must remain on site throughout the event as the guardian of the under 16 year-old.
b) Under 14s (0-14 years) are admitted free, but must be accompanied by a paying ticket-holder over 18 at all times.
c) All children under 14 years need Child tickets in order to attend (‘Babes in arms’ do not require a ticket for entry).
d) Teenagers 15 and over must have a full price ticket.
g) We do not accept any parental or supervisory duty of care or liability for any under 18s on site.

TICKETS
a) Tickets purchased from unauthorised sources may be rendered invalid and admission refused.
c) No re-admission on any tickets
d) Ticket holders should expect queues at the entry gate and arrive with plenty of time before the first act they wish to see – no refunds will be given for acts missed.
e) A ticket is required for each individual event/performance tickets when a split day is programmed.
f) We have QR download tickets, please do not rely on internet signal at the site, you should download and print your ticket. Tickets must be valid, presented in full, not tampered with (in the event of accidental damage, refer to point of purchase prior to event). Tickets remain the property of Ideal Events and Summertime Social.
g) Ideal Events will not issue duplicates for lost or stolen tickets.
h) Tickets cannot be used as part of any marketing or sales promotion, without the prior written consent of Ideal Events.
i) The ticket holder is responsible for their tickets until it is exchanged on entry

SECURITY
Our security and Event stewards are there for everyone’s safety and include enforcing our COVID procedures that comply with government recommendations and our licensing requirements.
a) Ideal Event reserves the right to evict a customer without refund, and/or refuse admission where the Eviction Policy is breached. See Eviction Policy below.
b) You may be body/bag searched at the entrances, on the site or when leaving – this will be COVID compliant and hands free where possible and using gloves and mask PPE.
c) Any item(s), reasonably considered for use as a weapon, which may cause danger, offence or disruption to any other person, must be surrendered to staff.
d) Any person carrying illegal items or carrying out illegal activity will be given to the Police and refused entry. Please see confiscation/surrender policy below.
e) Anti-social behaviour may lead to eviction. Please act responsibly.

DAMAGE/LOSSES
IE is unable to accept any liability for personal or property damages, losses (including surrendered items) or injuries sustained at this event – other than caused as a result of our negligence.

BANNED ITEMS
a) Banned from arena and site –
Gas canisters, aerosols over 250ml, airhorns, fireworks, flares, glass, illegal substances, drugs, ‘legal highs’ – this includes Nitrous Oxide and associated equipment including balloons, unidentified substances, new psychoactive substances (NPS), illegal items, laser equipment/pens, megaphones, blowtorches, sky or ‘Chinese’ lanterns, petrol burners, sound systems, spray cans, tabards/high viz jackets, bags larger than A4 in size, cans, alcohol of any kind, camping equipment, Gazebos/parasols/large (golf) umbrellas, Glass (including glass makeup or perfume bottles), Food hampers/cool bags/boxes, firewood, disposable barbeques, campsite stoves, audio recorders, umbrellas, large or open drinks bottles (under 500ml sealed* plastic soft drinks/water are permitted in an empty refillable bottle plastic or metal bottle). Please refill your empty bottles at the water points inside the arena for free. If you need to bring specific food or drink or medication due to a pre-existing medical condition, please bring supporting medical evidence. Please note: only bags A4 size or smaller are permitted in the arena.
b) No liquids, gels or lotions are permitted into the event in containers or vessels of a capacity larger than 500ml are permitted, regardless of whether the liquid, gel or lotion occupies part or all that capacity. This includes hand sanitisers
c) Excessive amounts of children’s packed lunch food. Only bring enough for personal consumption for your child/children.
d) Anyone resisting the surrender of disallowed items or disregarding these conditions will face eviction.
e) Items that are surrendered or confiscated will not be returned.
f) Under 18s are not permitted to purchase alcohol on site.
g) It is illegal for an over 18 to purchase alcohol on the behalf of under 18s.

FIRE AND SAFETY
a) Fires are not permitted anywhere on site.
c) Smoking is not permitted in public spaces including Arena big tops. This includes e-cigs/vaping. A designated, socially distanced smoking area will be available on a hard-standing area outside of the arena space.
d) Excessive exposure to loud music may cause damage to your hearing.
e) Pyrotechnics, lasers, smoke machines, strobe lighting/special effects may take place during some performances.
f) The use of drones or similar equipment for any reason are not prohibited on or near the event

HOUSEKEEPING
a) Please use the bins and recycling points provided on and off site.
b) No animals, other than guide, hearing or care dogs are permitted on site.

a) Disabled Toilet Facilities and Side Pods are available for hard standing access– please email ideal-events@hotmail.co.uk should you require further information.

*Any 500ml Bottles must be sealed and untampered or empty so that they are not used for bringing in alcohol to the arena such as vodka

EVICTION POLICY
Summertime Social has been created for the enjoyment of all those persons who attend and is fully COVID compliant. The licence is granted under strict conditions of public safety, prevention of disorder and prevention of public nuisance. Any person who disrupts the events under any of the below sections will leave themselves liable for eviction from site. The decision as to the eviction will be at the discretion of the Security Co-ordinator following advice from Ideal Events security staff.
Persons will be liable for eviction under the following circumstances:
a) Not complying with our COVID requirements
b) Entering or being onsite without a ticket or relevant pass
c) Unacceptable, disruptive or anti-social behaviour
d) Having been arrested or cautioned in connection with a criminal offence, pending or post hand over to the Police
**Unacceptable behaviour that can lead to eviction includes:
• illegal activity.
• breaching the terms and conditions of entry;
• failing to submit to a search upon entry to the site;
• offensive behaviour;
• throwing any objects in the direction of people;
• encouraging others to behave badly by incitement;
• preventing our security or emergency services reacting to a situation;
• committing a criminal offence but not arrested by the police;
• in possession of unlawful drugs;
• unofficially selling alcohol, tobacco, counterfeit or any unauthorised goods
• ticket touting;
• any other behaviour that leaves the Event Director open to prosecution or is not conducive to maintaining a safe event

EVICTION PROCEDURE
All persons evicted from site will be processed via Security area. All persons presented for eviction by security will be interviewed by the Security Co-ordinator and their details will be recorded with their full personal details, date and time and the reasons for eviction.
All persons who are to be evicted will be able to make a telephone call if they do not have a mobile phone in order to contact immediate members of their group and/or family
Persons who are to be evicted will need to phone a friend on site to collect their belongings before their eviction as they themselves will not be permitted back into the event to find them. Ideal Events will not be responsible for ensuring that they leave site with their belongings.
All evictees will be evicted from site via either:
• the bus stop where they will make their own way home
• the taxi rank where they will make their own way home
• by being picked up by someone
